Managing collection security

This section describes the steps to maintain collectionA collection is a container for storing and organising ingested files and documents. Only the textual content is stored in collections, not the original files and documents. security based on the Sintelix security model. For information about this model see Setting up security.

Security can be applied to collections to enable users to access (open) the collection or prevent them from doing this.

In the collection list, icons are used to indicate the access status of collections. Each icon is described in Table 1 below.

Unsecured

Any user can access (open) the collection if they can also access the project.

Secured and accessible to the currently logged in user

Only users with access privileges can open the collection.

When a user is logged in: if access to the collection has been secured and a user has access privileges, this icon is shown beside the collection name.

When an administrator is logged in: in the Sintelix security model there are no restrictions on administrators accessing collections. If access to the collection has been secured, this icon is shown beside the collection name and the administrator can open the collection.

Secured and not accessible to the currently logged in user

Security has been applied to the collection and only users with sufficient security privileges can open it.

When a user is logged in: if access to the collection has been secured and a user does not have sufficient privileges, this icon is shown beside the collection name and the name is greyed out, preventing the user from clicking on it.

When an administrator is logged in: this icon is not used as there are no restrictions on administrators accessing collections in the Sintelix security model. If access to the collection has been secured, the yellow ‘Secured’ icon is shown beside the collection name and the administrator can open the collection.

There are two ways in which you can edit security metadata on a collection. You can open the collection then use the Security Metadata section on the Collection Configuration pane. If you do not want to open the collection, or are not authorised to, you can go to the Projects or Collections tab, click on the security icon beside the collection name then using the Edit Security Metadata window. Both methods are described below.
